- Dropping Courses
- A drop occurs when a student withdraws from one or more courses while remaining enrolled in at least one other course at UTPB. Drops completed before an academic record is created are eligible for a 100% refund; refunds are never prorated. After the last day to drop a course with a refund, as published in the academic calendar, no refund will be issued. A student is considered to have dropped a course only if they remain enrolled in at least one course following the drop. Students must notify Financial Aid before dropping any classes to learn how this will impact your current and future aid eligibility. For more information please visit the Registrar's Office.
- Texas Six Course Drop Limitation: In accordance with Texas Education Code § 51.907, students enrolled in a Texas public institution of higher education as first-time freshmen are not permitted to drop or withdraw from more than six courses during their entire undergraduate career. This limit applies to all coursework attempted at Texas public institutions, including transfer credits. The rule is intended to promote timely degree completion while allowing for certain exceptions, such as severe illness, the death of a family member, incarceration, jury duty, or military service. Drops made prior to the official census date (12th class day) are not counted toward the six-drop limit and are not considered attempted hours. Complete semester withdrawals are also excluded from this limit.
- Withdrawals
- A withdrawal occurs when a student drops all enrolled courses for a given term. Students who withdraw are responsible for requesting refunds for housing and meal plan charges, as these fees are not automatically credited upon withdrawal. To be considered for a refund, students must contact Student Housing after completing the withdrawal process. For more information please visit the Registrar's Office.
At UTPB, students may request withdrawal from courses due to significant personal circumstances such as severe medical or mental health issues, family emergencies (including death or serious illness), accidents, or major life changes (such as employment or financial challenges). Withdrawals requested after published deadlines require strong supporting documentation to be considered for an excused withdrawal. Without approved documentation, students may receive failing grades, which can negatively impact academic standing and financial aid eligibility. Additionally, withdrawals may count toward the Texas Six Course Drop Rule limit. Students are strongly encouraged to consult with their instructors and the Office of Financial Aid and Registrar Office before initiating a withdrawals after the deadline.
Absence Polices
- Leave of Absence
- The University of Texas Permian Basin permits students who are pregnant or parenting to take a leave of absence for a reasonable duration, as determined by individual circumstances (Texas Education Code § 51.982). A leave of absence is defined as a period during which a student is not enrolled in classes but remains eligible to reenroll at a later date. Students who are in good academic standing at the time the leave is granted may return to the same degree or certificate program without being required to reapply for admission and will retain their academic standing. Documentation verifying pregnancy or parenting status may be required to process a leave of absence request under this policy. - Military Leave - Call to Duty
- Students who are called to and participate in required military service for a brief period are excused from scheduled classes or other required academic activities during their absence (Texas Education Code section 51.9111). Students will be provided a reasonable amount of time to complete any missed assignments, examinations, or other required coursework upon their return.
